Educate speakers about a virtual summit

Business Benefits

Build deeper relationships with your summit speakers by making it a pleasant experience for them to be involved with your summit.

Explain the rationale for any agreements, such as Media Release and Speaker Agreements, and use a service like SignRequest or DocuSign to have the speakers sign them.

Start the relationship right and explain why you need to legally protect yourself and the speakers using Media Releases and Speaker Agreements.

Make sure they understand that these documents do not come from distrust, but are a sign of how seriously you take the virtual summit.

Explain how the event is structured, how attendees will be able to see the sessions, how attendees will be asking questions, and how the speaker can engage with the attendees.

Every speaker loves chatting with and responding to their listeners when they give a talk, however some might not have participated in a summit yet and may need guidance.

Make sure speakers understand the promotion schedule and have scheduled messages going out on the recommended or agreed upon promotional dates.

The majority of your attendees will come from speakers promoting your virtual summit to their audience, so make sure they understand the promotional schedule and messages are sent as planned.

Create and provide your speakers with email and social media update swipe copy that already includes their affiliate link.

This makes promoting the summit as easy as possible for them.

For example, if you are selling an “All-Access Pass” to your summit, pre-add the speaker’s affiliate link to the swipe copy.

Alternatively, if you’re not selling anything, add a link with UTM tracking parameters to find out how many attendees that speaker referred.

Use a tool like Canva or hire a graphic designer to create and share custom promotional graphics showcasing your speakers for them to share on social media and on their website.

These graphics will allow for more efficient promotion in social media. Hiring a professional graphic designer also demonstrates your commitment to making the speaker look good while participating in your event – thus further establishing a genuine relationship.

Educate your speakers about the summit session format and clearly explain your target audience, their desires and pain points, the topic you want to cover, and the angle you want to take, and the outcome you want to achieve.

Conducting a great summit session requires that your speakers understand both your audience and the outcome you want to achieve with your session.

Open a conversation about future collaborations like doing co-hosted webinars, podcast interviews, or guest blogs.

Take advantage of the relationship you’re building with the speaker even after your summit ended.

Offer them opportunities to work with you again and stay connected, for example by engaging with them on social media continuously and answering their email newsletters.
